What UBN collects, why, who can see it, and your rights wherever you live
Last updated: 18 October 2026
UBN (United Battle Network) runs esports tournaments, rankings and a player community for players in Asia-Pacific and around the world. This policy explains how this website and its backend handle information, and the rights you have under the privacy laws of the place where you live. By signing in or registering for an event you agree to it.
Who we are
This website is operated by UBN (United Battle Network), a team-run esports community based in India. We do not have a separate privacy email: for anything in this policy, including requests and complaints, contact us through Contact Staff. Please put "Privacy" in your first message so it reaches the right person. For grievances under India's Digital Personal Data Protection Act, Contact Staff is also our point of contact.
What we collect
- Discord sign-in: you sign in only with Discord. We ask Discord for the "identify" and "email" permissions and receive your Discord user ID, username, display name, avatar and the email address on your Discord account. We do not receive your Discord password or messages, and we cannot post as you.
- Profile details you enter: your UBN username and region (required), an email address (taken from Discord, or the one you type when you register or join a team), and in-game names and game IDs for the games you play.
- Tournament activity: registrations (team name, roster names, Discord usernames and game IDs), team registration details (team name, game, your in-game name, game ID, email and the play style or role you pick, such as IGL or Support), team memberships, invite links and the slots in each team, match schedules, scores and results, UBN points and the log explaining each point change, and notifications we send you on the site.
- Account records: your role (for example player or staff), when you first and last signed in, and any moderation action applied to your account, such as a ban, a temporary removal with its end time and reason, or removal from the rankings.
- Staff action log: actions taken by staff (for example approving a registration, adjusting points or banning an account) are recorded with the staff member's name so decisions can be reviewed.
- Emails we send you: a welcome email the first time you sign in, and emails about your own activity: a team you created or joined, a teammate joining, a complete roster and tournament registrations. These are service emails only. We do not send marketing.
- Service monitoring: automated checks every few minutes record whether the website, API, login and tournament systems are up and how fast they respond. These checks contain no personal data.
- Reports and appeals: anything you send staff through Discord or X, such as evidence for a report or an appeal, is used only to handle that case.
Who can see it
- Public: your UBN username, rankings and points, region shown in rankings, team names, the players on each team and their roles, tournament registrations that appear on tournament pages, bracket results and match history shown on public pages. The Players page lists usernames of people who have signed in.
- Only you: your email address, your notifications and your full points history. Teammates see each other's in-game name, Discord username and game ID on their own team, and only the captain sees open invite links.
- UBN staff: staff can see every team with each player's role, in-game name, game ID, Discord username and email, and the list of accounts (username, Discord username and ID, role, region, points, sign-in times and any restriction), registration details and match records, as needed to run events and enforce the rules. Higher staff roles can see more than lower ones.
- We do not sell your personal information and we do not run advertising.
Storage, cookies and retention
- Session token: after sign-in your browser stores a session token in local storage so you stay signed in for up to 30 days. Signing out removes it from your browser.
- Sign-in cookie: a short-lived cookie (about 10 minutes) is used only to protect the Discord sign-in step.
- Stream previews: your browser may remember when a stream preview started so the preview time limit works. This stays on your device.
- We do not use advertising or analytics cookies.
- Retention: account and profile data is kept while your account exists. Tournament results, rankings and the staff action log are kept as a permanent record of past events. Service-monitoring measurements are kept for roughly 100 days.
Third-party services
- Discord: sign-in and our community server, under Discord's own privacy policy.
- Resend (email delivery): we use Resend to send the emails above. It receives your email address and the content of each email so it can deliver it, under its own privacy policy.
- Cloudflare: hosts the website and API and stores our database. Cloudflare may keep standard server logs such as IP address, browser type and pages requested, for security and reliability.
- Google Fonts: the site loads fonts from Google, so your browser sends a request, including your IP address, to Google's servers.
- YouTube: livestreams and replays are embedded using YouTube's privacy-enhanced mode. Our servers also ask YouTube whether a broadcast is live; that request contains no information about you. When you play an embedded video, YouTube's policy applies.
- X and Discord links: if you follow links to our social pages, those platforms collect data under their own policies.
Why we use your information
- To run the service you asked for: signing you in, showing your profile, handling registrations, teams, brackets, results and points, and sending service emails. (Legal basis in the EU/UK: performing our agreement with you.)
- To keep competitions fair and safe: enforcing the rules, handling reports and appeals, preventing cheating, multi-accounting and abuse, and keeping the staff action log. (Legitimate interests.)
- To keep the site secure and working: security logs, uptime checks and fixing faults. (Legitimate interests.)
- To meet legal duties when the law requires it.
- We do not use your information for advertising, we do not sell it, and we do not use it for automated decisions that have a legal effect on you. Staff make ranking, ban and disqualification decisions.
International users and transfers
- UBN has players in many countries. Our website, database and email provider run on global cloud services (Cloudflare, Resend, Discord), so your information may be processed in countries other than your own, including the United States and other regions where those providers operate.
- Where the law of your country requires safeguards for transfers, we rely on the safeguards used by those providers (for example standard contractual clauses) and we only share what is needed to run the service.
- By using UBN from outside the country where our servers are located, you understand your information may be handled there.
Your rights, wherever you live
Depending on your country, you may have some or all of these rights. We apply them to every UBN player, even where your local law does not require it:
- Access: ask what information we hold about you and get a copy.
- Correction: fix information that is wrong. Most of it you can edit yourself from your profile.
- Deletion: delete your account from the delete option in your profile settings, or ask staff to do it. Tournament results, rankings and the staff action log may be kept in anonymised or minimal form so the history of past events stays accurate, or where we must keep a record for security or legal reasons.
- Objection and restriction: object to or ask us to limit certain uses of your information.
- Portability: ask for your information in a common format.
- Withdraw consent at any time where we rely on it (for example by signing out and deleting your account).
- Complain to your local privacy regulator if you are unhappy with how we handled a request.
By region (summary):
- European Economic Area and United Kingdom (GDPR / UK GDPR): all the rights above apply, and you may complain to your national data protection authority.
- California and other US states (CCPA/CPRA and similar): you may ask to know, correct or delete your personal information, and we do not sell or share it for cross-context advertising, so there is nothing to opt out of. We will not treat you worse for using these rights.
- India (DPDP Act 2023): you may ask for access, correction, erasure and grievance redressal. Use Contact Staff and we will respond within a reasonable time.
- Singapore (PDPA), Malaysia (PDPA), Thailand (PDPA), Indonesia (PDP Law), Vietnam, the Philippines (Data Privacy Act), Japan (APPI), South Korea (PIPA), Australia and New Zealand (Privacy Acts), Brazil (LGPD), Canada (PIPEDA) and similar laws: you may ask for access to and correction or deletion of your information and withdraw consent, and we will help you with those requests.
To use any right, send a message through Contact Staff from the Discord account you sign in with, so we can confirm it is you. We aim to reply within 30 days. We may need extra proof of identity before sharing or deleting information.
Your choices
- Sign out at any time to clear your session from your browser.
- You can edit your profile details from your dashboard.
- You do not have to give an email other than the one from Discord, but some emails and registrations need one to work.
Security and breaches
We use encrypted connections (HTTPS), restrict staff access by role, and log staff actions. No online service is perfectly secure. If a breach is likely to harm you, we will tell affected players on Discord and, where the law requires, the relevant regulator.
Age
- UBN is not for children under 13, the minimum age for Discord. In some countries the minimum age to give consent is higher (for example 16 in parts of the EU). If you are under that age where you live, you need a parent or guardian's permission to use UBN.
- If you believe a child has given us personal information without permission, contact us and we will remove it.
This policy may change as the platform grows. The date at the top shows the latest update, and significant changes will be announced on our Discord. See also our
Terms of Service.
